How Duke University Transformed On-Campus Scheduling with Accruent EMS

Duke University is a leading private research university located in Durham, North Carolina. The university’s athletic department implemented EMS Professional in 2013. As its needs grew, Duke University made the decision in 2017 to upgrade to EMS Enterprise. However, the institution was still struggling with siloes and loss of functionality because EMS wasn’t available across all departments. To address the siloed way of working, Duke University made EMS available campus wide, with the recent implementation of EMS Campus.  

Now, as a one-solution campus, the university utilizes various EMS functionalities to assist with:

  • Hoteling: Many departments at the university – including athletics, biology, alumni departments, the Office of Climate Sustainability, the Pratt School of Engineering, the Fuqua School of Business, and the Fuqua School of Nursing – utilize hoteling and room and resource booking functionalities to accommodate hybrid work and meeting room booking needs on campus.
  • Event functionality: Athletics and the Fuqua School of Nursing use event functionalities to streamline event planning and meetings.
  • Service provider coordination: The catering team within athletics utilizes EMS to build out their menus. The AV team at the nursing school will use EMS from a service provider perspective as well to coordinate equipment and personnel availability.

1. Taking EMS Campus-Wide Helps with Automation Records

Before implementing EMS campus wide on their main campus, the institution didn’t have standardization of room or building names across various tools like Archibus, PeopleSoft, Web Central, and campus maps. This lack of uniformity caused problems with scheduling and reporting that EMS helped to solve.

2. Duke University Plans to Further Expand EMS

In addition to the current functionalities, Duke University is also adding access to the Direct Spaces mobile app to start utilizing the academic imports scheduling. The institution is also integrating EMS with other software – including PeopleSoft, Microsoft Outlook, Zoom, and Teams – for easier scheduling and advanced visibility.
