KenCrest operates a large network of group homes and day programs across northeast Pennsylvania, supporting vulnerable populations who depend on safe, well-maintained facilities. The organization manages roughly 200 properties that operate 24/7, 365 days a year.
When Robert Smith joined KenCrest as Director of Facilities in 2018, he inherited an outdated maintenance operation that had not kept pace with the organization’s rapid growth. “They were still using fax machines,” Smith recalls.
Work orders were not delivered in real time, creating delays in addressing urgent issues. A legacy Microsoft Access database provided limited functionality, and asset tracking was nonexistent. Leadership lacked visibility into property conditions and performance.
“I wanted to run KPI reports, see how long it took us to turn around from the day you give me a work order to the day we finish.” — Robert Smith, Director of Facilities
Without reliable data, KenCrest struggled with limited visibility, increased compliance risk and an inability to track key performance metrics.
After evaluating multiple CMMS platforms, KenCrest selected Maintenance Connection for its flexibility, reporting capabilities, mobile functionality and cost effectiveness.
The cloud-based system enabled technicians to receive work orders on tablets in near real time, while reducing IT burden and centralizing operations.
“It checked a lot of the boxes where I can get work orders to my guys on their tablets.” — Robert Smith, Director of Facilities
Accruent supported implementation, including data migration, training and system customization. Today, 14 maintenance team members use the platform daily to manage work orders, assets and properties.
Maintenance Connection delivered immediate improvements in efficiency and visibility:
“The one major KPI which I love to track is opening and closing the work order from the day someone submitted to the day we complete the work.” — Robert Smith, Director of Facilities
KenCrest can now report on asset age, condition and maintenance history, enabling more informed planning and decision-making.
